JOB SUMMARY

The Administration Associate provides high-level support to the General Counsel’s office and oversees the contracts management activities at American Rivers, ensuring that processed agreements meet standard compliance regulations and follow best practices. In conjunction with this key compliance component, the Associate conducts regular contracts process orientations for new employees, maintains administrative database integrity, and develops and executes strategies for continuous quality improvement. The Associate will also work in conjunction with the Human Resources (HR) department to assist with ongoing organizational compliance matters, which may

include oversight of various HR databases, assistance with payroll processing, helping with annual functions such as the corporate insurance renewal, and other duties as assigned. PRINCIPAL RESPONSIBILITIES

Contracts Management: Working with the General Counsel, the Administration Associate will manage the contracts process and make recommendations for its continued improvement. This includes, but is not limited to, reviewing incoming agreements, ensuring that agreement templates are filled out correctly, researching compliance issues, maintaining the contracts database, obtaining appropriate contracts signatures, and scanning, filing and sending out signed agreements. Regularly draft and

update contract templates, guidance tools, and management systems. Provide regular contracts training for colleagues and serve as the point person for contract related queries. Handle certificates of insurance filing and monitor contractual insurance requirements.

Human Resources Support: Working with the Human Resources Director, the position will help maintain HR databases and personnel files, assist with the annual corporate insurance renewal and audit, and help with state employment compliance matters. The position will also serve as a backup HR administrator on the ADP Workforce Now platform. In this capacity, the Administration Associate may input employee information, including timecard and payroll data and will share in payroll processing duties.

Other: In support of the General Counsel, the position will serve as the Intern Coordinator for the Legal Department and provide administrative support for the Board Governance and Litigation Committees. Other administrative duties and special projects in support of the department may be assigned as needed.

MINIMUM QUALIFICATIONS

  • Minimum of 2 years of relevant experience or a Bachelor’s degree and 1 year of relevant experience.
  • Strong analytical, organizational, critical thinking and communication skills.
  • Meticulous attention to detail.
  • Able to work effectively as part of a diverse team.
  • Able to work effectively with a range of personalities and working styles and with people at all levels of the organization who are geographically dispersed.
  • Able to multi-task and meet deadlines.
  • Excellent verbal and written communication skills, including phone and email.
  • High level of professionalism, integrity, and discretion.
  • Proficiency in all Microsoft Office applications and Adobe software.
