JOB SUMMARY
The Executive Assistant provides complete administrative support to the President and to the Senior Vice President of Conservation (SVP). This person will handle sensitive tasks that are critical to accomplishing the mission of the organization including handling financial information, assisting with board relations, meeting and event planning and providing scheduling and travel arrangements for the President and SVP. The Executive Assistant will also provide logistic and administrative support to the Board of Directors.
PRINCIPAL RESPONSIBILITIES
- Ensure that the President and SVP receive high level administrative support.
- Proactively manage activities, schedules and calendars for the President and SVP.
- Provide timely, well-organized background information and materials for calls and meetings.
- Schedule and arrange all travel and travel logistics for the President and SVP; prepare complete detailed itineraries with all relevant information, briefings and materials they will need on trips. Alert relevant staff to ensure that each trip takes full advantage of available time (fundraising, media, and meetings with local conservation groups).
- Provide logistic and administrative support to the Board and selected board committees, including arranging meetings and preparing and distributing memoranda and other communications.
- Coordinate and organize new Board member orientations and provide all new Board members with an updated copy of the Board Handbook.
- Assist the Advancement Department in creating donor profiles and information packets; enter the President’s and SVP’s notes from all fundraising meetings and calls into our fundraising database.
- Track projects, activities, and prompt the President and SVP on upcoming deadlines and commitments.
- Ensure that all requests for information, assistance, documents, etc., from internal or external sources are tracked and met.
- Draft, edit and proof correspondence, agendas, reports, web text, presentations, and other documents.
- File and retrieve documents, reports and reference materials.
- Compile, review and submit out-of-pocket and credit card expense reports.
- Share in Receptionist duties; direct calls to appropriate staff, and greet guests.
- Perform other duties as directed and provide administrative support to other office personnel when needed.
MINIMUM QUALIFICATIONS
- College degree and a minimum of two to four years of experience providing administrative support.
- Exceedingly well organized, flexible and resourceful.
- Excellent interpersonal skills; ability to establish good relationships with board members, donors, government officials, and colleagues.
- Decisive and self-motivated; able to work independently and proactively.
- Proven success at anticipating needs and taking initiative; capable of following through on assignments with minimal direction.
- Ability to prioritize tasks, work on several projects concurrently and meet deadlines.
- Excellent verbal and written communication skills, including transcription, proofreading, and editing.
- Expert skills in Microsoft Outlook, Word, Excel, and Power Point software; excellent working knowledge of all other Microsoft and Windows based programs.
- Experience with planning/coordinating small events preferred.
- Demonstrated experience with fundraising databases preferred.
- Expert knowledge of typical office and administrative support procedures and office equipment.
- Familiarity with non-profit organizations helpful.
- Prefer candidate with some knowledge of and interest in conservation issues.
